Landlord software: compare the job, not the promise

Landlord software should reduce risk and repeated work. It should make it easier to find the evidence behind a rent payment, repair, safety check or tax figure. A long feature list is not proof that a system will do that for your portfolio.

This guide explains how to compare products properly, where RentVault fits, and when alternatives may be stronger. Features, prices and eligibility change, so verify the current position with each provider before buying.

START WITH THE JOB

List the tasks that consume the most time or create the most risk: recording income and expenses, reconciling bank transactions, collecting documents, monitoring compliance dates, managing repairs, communicating with tenants, preparing figures for an accountant and getting ready for Making Tax Digital.

Separate “must work” requirements from conveniences. For jointly owned property, ownership splits and usable exports may matter more than a polished dashboard. For an HMO, property-level reminders and a retrievable audit history may be essential.

1. THE REAL-DATA TEST

Create one property, one tenancy and one month of genuine transactions. Record rent, a repair, mileage or another allowable cost, and a payment that needs explanation. Upload the supporting documents. Then ask someone else to retrieve the evidence without help.

A system that is quick to demonstrate but difficult to retrieve from is not reducing risk. Test search, filters, naming, duplicate handling and whether documents remain linked to the transaction or property that explains them.

2. THE ACCOUNTANT AND EXPORT TEST

Export your data before committing. Check whether the file contains understandable dates, amounts, categories, property identifiers and notes. Ask your accountant whether they can use it without rebuilding it.

Software is not permanent. Products change, prices rise and businesses close. Confirm what can be exported, whether documents can be downloaded in bulk, and how long data remains available after cancellation.

3. THE COMPLIANCE-EVIDENCE TEST

A reminder is useful, but it is not the same as compliance. Test whether the platform can hold the document, issue and expiry dates, relevant property, notes about action taken and a history of changes. Check whether responsibilities can be assigned and completed actions reviewed later.

No app can decide that a property is legally compliant in every circumstance. The landlord remains responsible for checking the law and obtaining professional advice where necessary.

4. THE MTD AND TAX-WORKFLOW TEST

Making Tax Digital for Income Tax begins for some sole traders and landlords from 6 April 2026, subject to qualifying income and phased HMRC rules. “MTD ready” should be tested, not accepted as a slogan.

Ask whether the product appears on HMRC’s current compatible-software list; whether it supports your property income and ownership structure; how corrections are handled; whether quarterly updates and the end-of-year process are included; and whether your accountant can review the records. Limited companies and complex ownership structures may need a different workflow.

HOW THE OPTIONS DIFFER

A FAIR COMPARISON CHECKLIST

Before paying for a year, ask:

• Can every transaction be linked to a property and supporting evidence?
• Does the system handle joint ownership as your accountant requires?
• Can you export transactions, contacts, documents and audit history?
• What happens to your data after cancellation?
• Are backups encrypted and is multi-factor authentication available?
• Which MTD submissions are supported, and is the product currently listed by HMRC?
• How are bank-feed duplicates and transfers handled?
• Can reminders be assigned, evidenced and reviewed?
• What is the full cost for your actual properties and users?
• Is migration help included?

RUN A 30-DAY PILOT

Use real but appropriately protected data. Week one: setup and import. Week two: bookkeeping and documents. Week three: a repair or compliance workflow. Week four: export, accountant review and retrieval.

Score each product for accuracy, time saved, retrieval, portability, support and total cost. Do not award points for features you will not use. Record every manual workaround: repeated work is usually where a cheap product becomes expensive.

The best landlord software is not the product with the longest menu. It is the one that makes records more complete, next actions clearer and evidence easier to retrieve—without locking you into a system you cannot leave.
