Retain the date, description, photographs and any immediate risk. Preserve the tenant’s actual concern rather than reducing it to a vague note.

Track the response

Keep appointment offers, access arrangements, contractor instructions, invoices and completion evidence together.

Close the loop

Confirm with the occupier whether the problem is resolved and record further action where it is not.
